The short answer: if you already pay for HubSpot Service Hub Professional, start with its Customer Success Workspace. For a small team on a budget, choose Akita. For mid-market SaaS, choose Vitally, ChurnZero or Planhat. For enterprise, choose Gainsight. If your onboarding plans and account notes already live in Notion, NoteLinker shows them on HubSpot records for $19 a month.
What they cost: most vendors quote. Listed prices run from $49 a month (Akita) to $15,000 a year (ClientSuccess) and $16,000 a year plus per-user fees (ChurnZero). Reported median contracts are about $39,000 a year for Vitally, $41,000 for Planhat and $50,500 for Gainsight.
Do you need one: only when you have product usage data to score and more accounts per CSM than anyone can watch by hand. Below that, your CRM plus a written plan per account usually does the job.

Prices are what vendors, HubSpot Marketplace listings and review sites reported in 2026. Most CS vendors quote, so confirm with each one before you build a business case.
Three questions that narrow the list
- Do you have product usage data to feed a health score? Without it, a CS platform's main advantage is a score someone types in by hand.
- How many accounts does each CSM own? A platform pays off when a CSM cannot keep every account in their head; with 20 accounts each, it rarely does.
- What has to sync with HubSpot, and how often? Companies and contacts are standard; deals, tickets, custom objects and write-back of health scores vary by vendor and plan.

The 9 Best Customer Success Tools
1. HubSpot Customer Success Workspace: best if you already pay for Service Hub
Included with Service Hub Professional and Enterprise. CSMs get a workspace for their book of accounts, and a configurable health score built from event and property groups labels each customer healthy, neutral or at risk. HubSpot's documentation says Professional allows one health score and up to five drafts, and Enterprise up to ten health scores. Service Hub Professional is reported at about $90 per seat per month billed yearly. There is no usage-data pipeline of the kind dedicated platforms sell, and no place to write the account plan itself.
2. Akita: best low-cost dedicated platform
One of the few CS platforms with a public rate card. Its pricing page lists Small Teams at $49 a month with two integrations, two full-access users and four read-only users, Growing Teams at $99 a month, and Enterprise Teams at $499, with 20 percent off for annual prepayment and $29 a month for each extra integration or user. Its HubSpot Marketplace app syncs companies, contacts, deals, tickets and tasks, but the listing still shows older plan names and a $160 a month starting price, so confirm which plan includes HubSpot.
3. Custify: best for small and mid-size SaaS
Health scores, lifecycle playbooks and churn alerts aimed at SaaS teams that are past spreadsheets but not ready for an enterprise platform. Custify's knowledge base describes two-way, field-level sync with HubSpot for companies, deals and contacts, and it pushes notes and health scores back. Pricing is by quote: one analysis found Custify still references a $499 a month yearly Standard plan, while listing sites show about $899 a month for three users.
4. Vitally: best for modern mid-market CS teams
A collaborative CS platform with docs, projects and health scores in one workspace, packaged by CS motion (tech-touch, hybrid and high-touch). Its HubSpot integration imports companies as accounts or organizations, handles deals as custom objects, and pushes health scores and indicators back to HubSpot records. Vitally quotes every plan; Software Advice lists a start of $299 a month, and CostBench reports a median contract of about $39,000 a year from 42 purchases.
5. ClientSuccess: best simple plan for small CS teams
A straightforward CSM workspace with health scores, renewal forecasting and customer pulse tracking. Its HubSpot Marketplace listing shows an entry plan at $15,000 a year for teams of up to five CSMs, including sync of HubSpot contacts, deals and support tickets (prices last updated November 2025). Vendr reports a median of about $19,500 a year.
6. ChurnZero: best for mid-market SaaS with usage data
Built around product usage tracking, health scores and automated plays for subscription businesses. Its HubSpot Marketplace listing shows a Standard plan at $16,000 a year plus per-user fees (prices updated January 2026); GetApp lists $12,000 a year, so ask for a current quote. The HubSpot integration syncs accounts and contacts every 15 minutes by default, and ChurnZero's team handles the initial setup. One reviewer said sync errors are hard to trace.
7. Planhat: best for data-heavy mid-market teams
A customer platform that combines usage, revenue and support data with health scores and account plans. Its HubSpot integration syncs most objects both ways, including custom objects, as long as each record can be linked to a Planhat company. Planhat is priced by customer account rather than per seat, and one analysis of 35 purchases puts the median at about $41,000 a year.
8. Gainsight: best for enterprise CS programs
The most established platform, with health scoring, playbooks, renewal forecasting and customer journey tools across large portfolios. Its HubSpot connector syncs companies, contacts and owners as often as hourly and writes data back through rules. Gainsight quotes; CostBench reports a median of about $50,500 a year across 296 deals, and editions are sized by users and accounts (Essentials includes 10 full users). Plan for a dedicated admin.
9. Notion + NoteLinker: best if your CS work already lives in Notion
Many small CS and client services teams run onboarding plans, QBR notes and account plans in Notion databases. NoteLinker shows each matching row live on the HubSpot contact or deal record, matched by email or deal name, so the account owner sees onboarding status and the latest notes without leaving HubSpot. No health scores or playbooks, and it does not show rows on HubSpot company records. $19 a month for the whole HubSpot account, or $190 a year, with a 14-day trial and no credit card.

What Customer Success Tools Should Do
Use this as your demo checklist:
Must-haves in a customer success platform
- A health score built from data you already collect: product usage, support tickets, billing and survey results.
- Alerts and playbooks that create a task for the CSM when an account's score drops or a renewal gets close.
- A portfolio view: every account with its health, renewal date, revenue and owner.
- Onboarding and success plans with owners and dates, visible to sales and account managers.
- A CRM sync that covers the objects you use and writes health scores back where sales can see them.
Customer Success in HubSpot Without a Separate Platform
HubSpot covers a good part of customer success on its own:
- Customer Success Workspace (Service Hub Professional and Enterprise): a CSM workspace with health scores and at-risk, neutral and healthy groupings.
- Tickets and the help desk for support history on each account.
- Workflows that create tasks when a renewal date gets close or a property changes.
What HubSpot does not hold well is the writing: the onboarding plan, the success criteria agreed at kickoff, the notes from the last QBR. Teams keep those in docs, and the CRM record ends up with a stage and a date. Our guide to Notion for customer success covers how CS teams structure that work in Notion, and the QBR template and customer onboarding checklist are free starting points.
Other Tools Customer Success Teams Use
A CS platform is the hub, but most teams pair it with tools for specific jobs:
| Job | What teams use |
|---|---|
| In-app onboarding and product tours | Userpilot, Appcues, Pendo |
| Support and live chat | Intercom, Zendesk, HubSpot help desk |
| Call recording and notes | Gong, Fathom, HubSpot's notetaker; see our AI notetakers for HubSpot |
| Onboarding projects | Rocketlane, GUIDEcx; see our guide to client onboarding software |
| Account plans and notes | Notion, Google Docs; shown in HubSpot with NoteLinker |
Running Customer Success in Notion With HubSpot
Small CS teams often run onboarding and account management in Notion, because a plan there holds the checklist and the writing in one page. The gap is that the account owner in HubSpot never sees it. Here is how teams close it:
- 1
Give each Notion row a match column
Add a contact email column to your onboarding or account notes database, or a deal name column to plans tied to a deal.
- 2
Connect Notion and HubSpot
Install NoteLinker from the HubSpot Marketplace and connect the Notion databases you want to show. Setup takes a couple of minutes.
- 3
Open a contact or deal
Every matching row appears on the record, read live from Notion. Hide a row with one click, or create a new row from the record.
For the handoff that starts all of this, see sales to customer success handoff. If key accounts need a formal program, our guides to key account management software and account management software compare the next tier up, and account planning software covers plan-first tools.
NoteLinker is not a customer success platform: no health scores, playbooks or usage tracking, and no rows on company records. It fits when the CS work already happens in Notion and the problem is that HubSpot cannot see it. See pricing for the current plan.
Customer success notes your whole team will see
NoteLinker connects Notion and HubSpot in two minutes and shows your onboarding plans and account notes on the records your team already opens. $19 a month flat.
