The short answer: for a dedicated key account program on Salesforce or HubSpot, choose DemandFarm. For renewal and expansion work, choose Kapta. If customer success owns your key accounts, choose Planhat (mid-market) or Gainsight (enterprise). On HubSpot Service Hub Professional, try its built-in Customer Success Workspace first. Small HubSpot teams that already write account plans in Notion can show them on HubSpot records with NoteLinker.
What it costs: most vendors quote. Reported figures run from about $40 to $50 per user per month for Altify and Kapta up to median contracts of about $41,000 a year (Planhat) and $50,000 a year (Gainsight).
Do you need it: only with dedicated account managers and a portfolio of strategic accounts. With a handful of key accounts, your CRM plus a written plan per account is usually enough.

Prices are what vendors, buyers and review sites reported in 2026. Most KAM vendors quote, so confirm with each one before you build a business case.
Three questions that narrow the list
- Who owns key accounts: sales (account managers) or customer success? Sales-led programs point to DemandFarm or Kapta; CS-led ones to Planhat or Gainsight.
- Which CRM are you on? Altify is Salesforce only, and HubSpot support varies a lot by vendor.
- How many key accounts and account managers do you have? A portfolio tool pays off across dozens of accounts, not a handful.

The 7 Best Key Account Management Tools
1. DemandFarm: best dedicated KAM platform
Built for formal key account programs, with AI-generated org charts that track champions, influencers and blockers, a whitespace planner for expansion, account plans, and a portfolio dashboard with health scores and risk flags. It is native on Salesforce and Dynamics, and its Kampanion app on the HubSpot Marketplace reads HubSpot companies, contacts, deals and activities. Pricing is by quote, and reported figures range widely, from a competitor's estimate of $1,200 to $2,400 a year for five users to a 2024 buyer document showing $75 per user per month.
2. Kapta: best for renewal and expansion
Kapta is built around named key accounts, with structured account plans, voice-of-customer capture and plan accountability for account managers. It integrates with Salesforce, and lists HubSpot too, though one review describes the HubSpot integration as partial. Listing sites show a start of about $49 per user per month, while buyers report entry points nearer $1,000 a month.
3. Altify: best for enterprise teams on Salesforce
Now part of Upland Software, Altify runs entirely inside Salesforce and is sold as modules, including Account Manager, Opportunity Manager and relationship maps, with sales methodology built in. Listing sites show the Account Manager module at about $40 per user per month, on top of your Salesforce licences; a competitor estimates full quotes at $75 to $125 per user per month.
4. Planhat: best for CS-led key accounts in the mid-market
A customer platform that combines health scores, lifecycle and revenue data with account plans, so customer success and account management work from one view. Its HubSpot integration syncs companies, contacts, deals, tickets and custom objects both ways. It is priced by customer account rather than per seat, and one analysis of 35 purchases puts the median at about $41,000 a year.
5. Gainsight: best for enterprise customer success
The most established customer success platform, with health scoring, playbooks and revenue forecasting across large portfolios. Gainsight does not publish prices; review sites report about $150 per user per month for Essentials and $300 for Enterprise, with median contracts near $50,000 a year. Sources also flag implementation adding 20 to 50 percent in the first year and the need for a dedicated admin.
6. HubSpot Customer Success Workspace: best if you already pay for Service Hub
Included with Service Hub Professional and Enterprise. It gives customer success managers a workspace for their book of accounts and a configurable health score that labels customers healthy, neutral or at risk. Reports say Professional allows one health score and Enterprise up to ten. Pair it with Target Accounts (Sales Hub or Marketing Hub Professional) to tier your key accounts. What it lacks is a place to write the account plan itself.
7. Notion + NoteLinker: best lightweight option for HubSpot teams
Keep each key account's plan in a Notion database, with goals, stakeholders, whitespace, risks and next steps, and NoteLinker shows it live on the matching HubSpot contact and deal records. No portfolio health scoring and no per-seat licence: it puts the plan where reps already work. $19 a month flat for the whole HubSpot account, or $16 billed yearly, with a 14-day trial and no credit card.
On HubSpot? Keep key account plans on the record
NoteLinker shows your Notion account plans on HubSpot contact and deal records, live and formatted. $19 a month for the whole account.
Which Key Account Management Software Fits Your Team?

Planhat for mid-market teams, Gainsight for enterprise. Both are priced in the tens of thousands a year.
A health score and a CSM workspace with no new vendor. Add Target Accounts for tiering.
The plan stays a living document in Notion and appears on the HubSpot records your team opens. Flat $19 a month.
What Key Account Management Software Should Do
Use this as your demo checklist. The first two are what separate KAM software from a CRM.
Must-haves in key account management software
- A portfolio view: every key account with its tier, health and revenue trend in one place.
- Health or risk signals that come from data you actually have, not a score someone updates by hand.
- A relationship map per account: decision makers, champions, blockers and how strong each relationship is.
- Whitespace: the products, teams or regions you have not sold to yet.
- An account plan per key account, with owners and dates, reviewed on a set cadence.
- Two-way CRM sync, so the plan and the pipeline never disagree.
Key Account Management in HubSpot
HubSpot covers part of key account management on its own:
- Target Accounts (Sales Hub or Marketing Hub Professional) flags priority companies, sets an ICP tier and tags contacts with buying roles such as decision maker and influencer.
- The Customer Success Workspace (Service Hub Professional) adds a health score and a workspace for each CSM's book of accounts.
What HubSpot does not have is an account plan object. The strategy for each key account, its goals, stakeholders, whitespace and next steps, needs somewhere to live. HubSpot teams usually add DemandFarm's Kampanion app, or write the plan in Notion and show it on the HubSpot record with NoteLinker. Our free account plan template is a good starting point.
KAM Software vs Account Planning vs Customer Success Software
The three categories overlap, which is why vendor lists mix them:
- Account planning software is about the plan for one account. See our guide to account planning software.
- Key account management software adds the portfolio: health, tiering and governance across all strategic accounts.
- Customer success platforms such as Gainsight and Planhat start from health scores and lifecycle, and add account plans on top. Our guide to account management software compares them in more depth.
If a deal-level plan is what you need most, see mutual action plan software for tools that share a plan with the buyer.
Is Key Account Management Software Worth It?
For a team with dedicated account managers running a formal program across dozens of strategic accounts, usually yes. One expansion deal in a key account can be worth more than a year of licences, and the portfolio view is hard to rebuild by hand.
For a smaller team, often not. With a handful of key accounts, the work is mostly writing a good plan for each one and keeping it in front of the people who need it. That is a cheaper problem than a platform: a CRM, a plan per account, and a way to see the plan on the record.
Key account plans your reps will actually see
