Quick summary
Best Fireflies alternatives in 2026: Fathom if three or fewer people need calls in HubSpot (its free plan logs them); HubSpot's own Notetaker if you already pay for Sales Hub or Service Hub seats; Granola Business ($14 a user a month) for notes with no bot; Read AI Pro ($15 billed yearly) for HubSpot and Notion on one plan; Avoma for coaching and deal risk.
Why teams switch: Fireflies' free plan has no CRM integration, CRM Autofill needs Business and spends an AI credit per meeting, every workspace member is a paid seat, and the bot joins calls by default.
What a 5-rep team pays: $600 a year on Fireflies Pro, $840 on Granola Business, $900 on Read AI Pro, $1,140 on Fireflies Business and $1,500 on Fathom Business, with every rep's calls reaching HubSpot.

Three questions that narrow the list
- How many reps need calls in HubSpot? Three or fewer, Fathom's free plan does it for $0. Four or more, Fireflies Pro is hard to beat on price, so switch for a feature.
- Do buyers object to a bot on the call? Granola records from your computer with no bot. Fireflies' own bot-free mode drops speaker labels and the saved recording.
- Do you want HubSpot properties filled in, or coaching scorecards? That is Fathom Business, HubSpot's Notetaker or Avoma, not a basic notetaker plan.
| Tool | Fireflies | Fathom | Granola | NoteLinker |
|---|---|---|---|---|
| Plan That Syncs a Whole Team | Pro $10/seat/mo yearly, $18 monthly | Business $25/user/mo yearly, $34 monthly | Business $14/user/mo, monthly only | $190/yr ($19 monthly), whole account |
| Free Plan Logs to HubSpot | No | Yes, 3 users per domain | No | 14-day trial |
| No Bot on the Call | Desktop Take Notes, no audio or speaker labels | Bot by default | Yes, device audio, nothing stored | Not a notetaker |

Why Teams Look for Fireflies Alternatives
Fireflies is a capable product, and Pro is the lowest-priced paid seat in this list that sends every rep's calls to HubSpot. The reasons teams look elsewhere are specific:
No CRM on the free plan
Fireflies' free plan has limited AI summaries, 400 minutes of storage for the whole team and no CRM integrations. HubSpot starts on Pro at $10 a seat a month billed yearly, or $18 monthly. Fathom's free plan logs calls to HubSpot for up to three users.
HubSpot properties cost credits
CRM Autofill, which fills HubSpot contact, company and deal properties from the call, needs Business ($19 billed yearly, $29 monthly) and uses one AI credit each time it extracts meeting data. Business includes a one-time pool of 30 credits; after that, packs start at $5 a month for 50.
Every teammate is a seat
Fireflies counts anyone added to the workspace as a paid seat. Recap links can go to people outside the team for free, but managers who only read notes still need a seat if they join the workspace. Avoma, by contrast, gives viewers free access.
A bot on the call by default
The Fireflies Notetaker joins meetings as a participant. The desktop app's Take Notes mode records without a bot, but Fireflies' help center says it saves no audio or video file and does not support speaker labels or Sales Assist.

The 7 Best Fireflies Alternatives
1. Fathom: free HubSpot logging for small teams
Fathom's free plan includes unlimited recording, transcription and storage, and logs calls to HubSpot as meetings with action items as tasks. The catch is the cap: CRM sync on Free, Premium and Team covers a maximum of three users per domain. Business, at $25 a user a month billed yearly or $34 monthly with a two-user minimum, removes the cap and adds CRM field sync, the closest match to Fireflies' CRM Autofill without a credit meter. Fathom also offers Business free for the rest of a Gong contract. See our Fathom AI pricing breakdown and Fathom alternatives.
2. HubSpot Notetaker: no new vendor
HubSpot's own Notetaker is available on Sales Hub and Service Hub at Starter, Professional and Enterprise, with an assigned Sales or Service seat; HubSpot says it is not sold on its own. It records Google Meet, Microsoft Teams and Zoom calls and writes a summary, suggested action items, suggested property updates and a follow-up draft onto the meeting record. HubSpot's notetaker page lists Sales Hub Starter at $7 a user a month billed yearly, or $10 monthly. A meeting only qualifies if it includes at least one CRM contact from an outside email domain. See our review of HubSpot's meeting notetaker.
3. Granola: no bot, no saved audio
On desktop, Granola captures audio from your computer, so no bot joins the meeting, and it does not store audio or video. Business is $14 a user a month, billed monthly only, and is where the HubSpot, Notion, Attio, Affinity and Zapier integrations start. Granola matches attendees to HubSpot by email and logs a meeting (or a note) on contacts, companies and deals. It does not create contacts, which suits teams that found Fireflies' lead creation noisy. HubSpot needs a Google Workspace or Microsoft 365 account, and the free Basic plan shows only the last 30 days of notes. See our Granola AI pricing breakdown.
4. Read AI: HubSpot and Notion on the same plan
Read AI Pro is $15 a user a month billed yearly, or $19.75 monthly, and its premium integrations include HubSpot, Salesforce, Notion, Jira, Confluence, Zapier and webhooks. Read AI's help center says the HubSpot integration is available on Pro, Enterprise and Enterprise+, and syncs meeting notes to contacts and their associated deals. Enterprise ($22.50 yearly, $29.75 monthly) needs five or more licenses. It costs $5 a seat more than Fireflies Pro billed yearly, and less than Fireflies Pro billed monthly.
5. Avoma: coaching and deal risk, free viewers
Avoma prices per recorder seat: Startup is $19 a month billed yearly, or $29 monthly, and viewers are free, so managers who only read notes cost nothing. Notes save to HubSpot records on every plan. Conversation Intelligence (AI call scoring, scorecards, coaching) and Revenue Intelligence (forecasting, deal risk alerts, two-way CRM field updates) are add-ons at $29 a seat billed yearly ($35 monthly) each. Pick it for the analytics; it is not the budget option.
6. Otter: cheap for one rep, capped for teams
Otter Pro is $8.33 a user a month billed yearly, or $16.99 monthly, and lists Salesforce, HubSpot and Zapier integrations, "subject to user limits." Synced notes cover 1 user on Pro, 5 users on Business ($19.99 yearly, $30 monthly) and unlimited users on Enterprise, which is quoted. Pro also caps recording at 1,200 minutes per user a month. For a solo seller it undercuts Fireflies Pro; for a team of six or more it needs an Enterprise quote.
7. Fellow: meetings that end in owned action items
Fellow comes from meeting productivity rather than call recording. Business, which adds HubSpot and Salesforce, is $15 a user a month billed yearly, or $23 monthly. Notes and recaps reach HubSpot three hours after a call; Fellow updates the existing meeting or creates one and associates it with the contact, company or deal, and action items become HubSpot tasks with an owner and due date.
Where Fireflies Still Wins
Switching only makes sense if the alternative fixes a real problem. Fireflies stays the better pick when:
Fireflies wins on
- Price: Pro at $10 a seat billed yearly syncs every rep to HubSpot with no user cap
- Languages: transcription in more than 100 languages, with Multi-language Mode on Business
- Coverage: logs to contacts, companies and deals, and transcribes HubSpot Dialer calls
- New contacts: can create leads for attendees not yet in HubSpot, if you want that
Fireflies costs you in
- No CRM integration on the free plan
- CRM Autofill needs Business and spends AI credits
- Every workspace member is a paid seat
- The bot-free desktop mode has no speaker labels or saved recording
What About Gong, tl;dv and Notion AI Meeting Notes?
Gong is the enterprise step up, not a cheaper swap. It does not publish prices, and Vendr's purchase data puts the median buyer at $55,359 a year. See our Gong alternatives compared by price.
tl;dv lists Pro at €18 a seat a month billed yearly (€29 monthly) and Business at €29 (€39 monthly). Its help center describes HubSpot workflows that log meetings and fill contact, deal and company properties, and says team-wide workflows need Business or above. It does not publish a US dollar price.
Notion AI Meeting Notes records without a bot and comes with Notion's Business plan ($20 a member a month billed yearly), but it keeps notes in Notion and does not log calls to HubSpot. See our Notion AI pricing breakdown.
What a 5-Rep Team Pays for Each Fireflies Alternative
Five reps, every rep's calls syncing to HubSpot, on each tool's cheapest billing option:
| Tool and plan | Per user a month | 5 reps a year |
|---|---|---|
| HubSpot Sales Hub Starter, with Notetaker | $7 yearly | $420, and it is also your CRM seat |
| Fireflies Pro | $10 yearly | $600 |
| Granola Business | $14 monthly only | $840 |
| Read AI Pro | $15 yearly | $900 |
| Fellow Business | $15 yearly | $900 |
| Fireflies Business, with CRM Autofill | $19 yearly | $1,140, plus AI credits after the first 30 |
| Avoma Startup | $19 yearly | $1,140 |
| Otter Business | $19.99 yearly | $1,199 |
| Fathom Business | $25 yearly | $1,500 |
| Avoma Startup plus both add-ons | $77 yearly | $4,620 |
Two cases flip the table. A team of three or fewer pays nothing on Fathom's free plan. And HubSpot's $7 Starter price buys a CRM seat as well as the Notetaker, so it is only the cheapest option if Starter is the HubSpot edition you would run anyway.
Call notes in HubSpot, account plans in Notion?
NoteLinker shows your Notion account plans, deal notes and meeting databases live on HubSpot contact and deal records. $19 a month for the whole HubSpot account.
Where Call Notes Stop and Account Context Starts
Fireflies and every tool in this list get the call onto the HubSpot record. None of them carries the work between calls: the account plan, the stakeholder map, the mutual action plan, the deal notes a founder keeps in Notion. That context stays in Notion, and the rep opening the HubSpot deal never sees it.
- 1
Keep account plans and deal notes in a Notion database
Add an Email column to match HubSpot contacts, or a Deal Name column to match deals. Our account plan template is a free starting point.
- 2
Install NoteLinker from the HubSpot Marketplace
Connect Notion and pick the databases to show. Setup takes a couple of minutes.
- 3
Open the contact or deal
Matching Notion rows show live on the record, next to the meeting your notetaker logged.
NoteLinker is not a notetaker: it does not record, transcribe or summarize calls, and it does not log activities. It shows Notion database rows on HubSpot contact and deal records (not companies) for $19 a month for the whole account, with no per-user fee. See how the Notion HubSpot integration options compare, account planning software, our comparison of AI notetakers for HubSpot, or pricing.
