Quick summary
Fathom AI pricing in 2026: Free is $0, then Premium is $16, Team $15 and Business $25 per user a month, billed yearly. Billed monthly, Premium is $20, Team $19 and Business $34. Team and Business need at least two users; Enterprise is quoted.
Which plan includes HubSpot: every plan, including Free, logs call summaries to HubSpot. Free, Premium and Team cap CRM sync at three users per domain, so a team with more than three reps in HubSpot needs Business, which also adds CRM field sync.
What a sales team pays: five reps on Business cost $1,500 a year billed yearly, or $2,040 billed monthly. Recording, transcription and storage are unlimited on every plan, with no AI credits on top.

Three questions that pick the plan
- Will more than three people at your company sync calls to HubSpot? If yes, you need Business: the lower plans cap CRM sync at three users per domain.
- Do you want call insights written into HubSpot deal properties, or a Deal View and coaching scorecards? Those start on Business.
- Are you one person? Free or Premium. Team and Business both need at least two users.

Which Fathom Plan Do You Need?
Free: for individuals who want call notes without paying
Unlimited recordings, transcription, storage, downloads and clips, plus instant AI call summaries and search across your calls. Advanced summaries (Fathom's 15 or more templates, including BANT and Sandler), Ask Fathom and Zapier or Make automations are marked limited use, and Fathom does not publish the exact caps. AI action items, AI follow-up emails, a custom bot name and turning off the in-meeting banner are not on Free.
Premium: for individuals who want the full AI features
$16 a user a month billed yearly, or $20 monthly. Premium adds advanced summaries without the limit, AI-generated action items, AI follow-up emails, Ask Fathom across your own calls with unlimited lookback, a custom meeting bot and the option to hide the in-meeting banner. Zapier and Make are still limited use.
Team: for small teams that share calls
$15 a user a month billed yearly, or $19 monthly, with a two-user minimum. Team adds playlists of highlights from every team meeting, search across all team calls, a customer view that gathers one customer's meetings in one place, comments, folders and keyword alerts, and unlimited Zapier and Make use. CRM sync is still capped at three users per domain.
Business: for sales teams that run on HubSpot or Salesforce
$25 a user a month billed yearly, or $34 monthly, with a two-user minimum. Business removes the three-user CRM cap and adds CRM field sync, Deal View (one page with every meeting, summary and key moment on a deal), coaching metrics and AI scorecards, and custom summary templates. Fathom's Launch Assist onboarding is a paid add-on on this plan.
Enterprise: for security and compliance requirements
Priced by Fathom's sales team. Enterprise adds SSO and Okta SCIM provisioning, organization-wide security controls, custom data retention, a signed HIPAA BAA, custom contracts, Launch Assist onboarding and a dedicated customer success manager.
What a Sales Team Pays for Fathom
Price per user times users times twelve:
| Team size | Premium, yearly | Premium, monthly | Team, yearly | Team, monthly | Business, yearly | Business, monthly |
|---|---|---|---|---|---|---|
| 1 user | $192/yr | $240/yr | 2-user minimum | 2-user minimum | 2-user minimum | 2-user minimum |
| 2 users | Individual plan | Individual plan | $360/yr | $456/yr | $600/yr | $816/yr |
| 5 users | Individual plan | Individual plan | $900/yr | $1,140/yr | $1,500/yr | $2,040/yr |
| 10 users | Individual plan | Individual plan | $1,800/yr | $2,280/yr | $3,000/yr | $4,080/yr |
On Team, the same five reps would cost $900 a year, but only three of them could sync calls to HubSpot. If every rep's meetings need to reach the CRM, the real comparison is Business at $1,500 a year. There are no AI credits or usage packs on top: Fathom's pricing page lists none.
Fathom also lists three ways to pay less: 10 free seats for nonprofits, up to two years of Fathom Team free for startups backed by select VCs and accelerators, and Fathom Business free through the rest of your contract, plus data migration, if you switch from Gong. Every plan on the pricing page shows a 90-day guarantee; check the terms with Fathom before you rely on it.
Fathom's HubSpot Integration by Plan
Fathom's help center describes what reaches HubSpot like this:
| What it does | Plan |
|---|---|
| Each external call logged as a HubSpot meeting, with the summary as the meeting's notes | All plans (3 users per domain below Business) |
| Link to the recording, transcript and notes in Fathom | All plans |
| Action items created as tasks in Fathom and in HubSpot | All plans (AI-generated action items start on Premium) |
| Edits to the summary or new action items re-sync to HubSpot | All plans |
| Summary headings mapped into HubSpot deal text properties (CRM field sync) | Business and Enterprise |
| Users who can sync to HubSpot | 3 per domain on Free, Premium and Team; unlimited on Business and Enterprise |
Fathom's pricing table words the cap as three users per domain, while its help center says up to three HubSpot connections. If you have more than three reps, confirm how the cap applies to your account with Fathom before you choose Team.
Call notes in HubSpot, account plans in Notion?
NoteLinker shows your Notion account plans and deal notes live on HubSpot contact and deal records, next to the meetings Fathom logs. $19 a month for the whole HubSpot account.
Fathom Pricing vs Other HubSpot Notetakers
| Tool | Cheapest plan for a whole team in HubSpot | What that plan costs |
|---|---|---|
| Fathom | Business (lower plans cap CRM sync at 3 users per domain) | $25/user/mo yearly, $34 monthly, 2-user minimum |
| Fireflies | Pro | $10/seat/mo yearly, $18 monthly |
| Granola | Business | $14/user/mo |
| HubSpot Notetaker | Included with eligible paid HubSpot seats | No separate price |
For one rep, Fathom is the cheapest way to get call notes into HubSpot, because its free plan includes the integration. For a team, the three-user cap pushes Fathom to Business, and Fireflies Pro or Granola Business cost less per seat. Our Fireflies AI pricing breakdown covers Fireflies' plans and AI credits, our comparison of AI notetakers for HubSpot covers eight tools in depth, and our review of HubSpot's own meeting notetaker covers the built-in option.
Where Call Notes Stop and Account Context Starts
Fathom records what was said on a call and logs it as a HubSpot meeting. It does not hold the account plan, the deal strategy or the onboarding checklist your team writes between calls. Many sales, client services and agency teams keep that work in Notion, and it never reaches the HubSpot record.
That gap is what NoteLinker covers:
- 1
Keep the plan in a Notion database
One row per account or deal, with a contact email column (or a deal name column). Our account plan template is a free starting point.
- 2
Install NoteLinker from the HubSpot Marketplace
Connect Notion and pick the databases to show. Setup takes a couple of minutes.
- 3
Open the contact or deal
Every matching Notion row shows on the record, read live from Notion, alongside the meetings Fathom logged.
NoteLinker is not a notetaker: it does not record or transcribe calls, and it shows rows on contact and deal records, not companies. It costs $19 a month for the whole HubSpot account, with no per-user fee. See how to view Notion inside a HubSpot record or pricing.
