Quick summary

Best Fathom alternatives in 2026: Fireflies Pro ($10 a seat a month billed yearly) is the cheapest way to sync every rep to HubSpot; Granola Business ($14, no bot on the call) and Read AI Pro ($15) come next; HubSpot's own Notetaker is included with Sales Hub and Service Hub seats; Avoma ($19 plus add-ons) adds coaching and deal risk.

Why teams switch: Fathom's free plan logs calls to HubSpot, but Free, Premium and Team cap CRM sync at three users per domain. A fourth rep means Fathom Business at $25 a user a month billed yearly, or $34 monthly.

What a 5-rep team pays: $600 a year on Fireflies Pro, $840 on Granola Business, $900 on Read AI Pro, $1,199 on Otter Business and $1,500 on Fathom Business, with every rep's calls reaching HubSpot.

Three questions that narrow the list

  • How many reps need calls in HubSpot? Up to three, Fathom's free plan already does it. Four or more, compare the plan that syncs everyone, not the free tier.
  • Will you pay yearly? Fireflies Pro is the cheapest on yearly billing; Granola Business is the cheapest monthly.
  • Do managers coach from scorecards or review deal risk? That is Avoma's add-ons or Fathom Business, not a basic notetaker.

Why Teams Look for Fathom Alternatives

Fathom is a strong product, and its free plan is the most generous here: unlimited recording, transcription and storage, AI summaries, and calls logged to HubSpot as meetings with action items as tasks. The reasons teams move on are mostly about the plan they need next:

  • The three-user CRM cap

Fathom's pricing page shows "Max 3 users / domain" for CRM sync on Free, Premium and Team. The fourth rep who needs calls in HubSpot moves the whole team to Business.

  • The jump to Business

Business is $25 a user a month billed yearly, or $34 monthly, with a two-user minimum. It adds CRM field sync, Deal View, coaching metrics and AI scorecards, which many teams were not shopping for.

  • Limited AI on the free plan

On Free, advanced summaries, Ask Fathom and Zapier or Make automations are limited use, and AI action items and follow-up emails need Premium ($16 billed yearly, $20 monthly), which still has the three-user CRM cap.

The 7 Best Fathom Alternatives

  • 1. Fireflies: the cheapest seat that syncs every rep

Fireflies Pro is $10 a seat a month billed yearly, or $18 monthly, and is its cheapest plan with the HubSpot integration. The integration page lists notes, summaries and action items synced to contacts, companies and deals, transcripts for HubSpot Dialer calls, and tasks from action items. It also creates contacts or leads for meeting attendees who are not in HubSpot yet, which helps some teams and worries others. Business ($19 yearly, $29 monthly) adds CRM Autofill for HubSpot properties, at one AI credit per meeting. The free plan has no CRM integration. See our Fireflies AI pricing breakdown.

  • 2. Granola: notes with no bot on the call

On desktop, Granola captures audio from your computer, so no bot joins the meeting, and it does not store audio or video. Business is $14 a user a month, billed monthly only, and is where the HubSpot, Notion, Attio, Affinity and Zapier integrations start. Granola matches attendees to HubSpot by email and logs a meeting (or a note) on contacts, companies and deals. Two limits: HubSpot needs a Google Workspace or Microsoft 365 account, and Granola does not create contacts. The free Basic plan shows only the last 30 days of notes. See our Granola AI pricing breakdown.

  • 3. Read AI: HubSpot and Notion on the same plan

Read AI Pro is $15 a user a month billed yearly, or $19.75 monthly, and its premium integrations include HubSpot, Salesforce, Notion, Jira, Confluence, Zapier and webhooks. Read AI's help center says the HubSpot integration is available on Pro, Enterprise and Enterprise+, and syncs meeting notes to contacts and their associated deals. Enterprise ($22.50 yearly, $29.75 monthly) needs five or more licenses. It suits teams that want call notes in both HubSpot and Notion without a second tool.

  • 4. HubSpot Notetaker: no new vendor

HubSpot's own Notetaker is available on Sales Hub and Service Hub at Starter, Professional and Enterprise, with an assigned Sales or Service seat; HubSpot says it is not sold on its own. It records Google Meet, Microsoft Teams and Zoom calls and writes a summary, suggested action items, suggested property updates and a follow-up draft onto the meeting record. HubSpot's notetaker page lists Sales Hub Starter at $7 a user a month billed yearly, or $10 monthly. A meeting only qualifies if it includes at least one CRM contact from an outside email domain. See our review of HubSpot's meeting notetaker.

  • 5. Otter: cheap for one rep, capped for teams

Otter Pro is $8.33 a user a month billed yearly, or $16.99 monthly, and lists Salesforce, HubSpot and Zapier integrations, "subject to user limits." Those limits are the catch: synced notes cover 1 user on Pro, 5 users on Business ($19.99 yearly, $30 monthly) and unlimited users on Enterprise, which is quoted. Pro also caps recording at 1,200 minutes per user a month; Business has unlimited meetings. The free Basic plan has 300 minutes a month and no CRM integration listed.

  • 6. Avoma: coaching and deal risk at published prices

Avoma prices per recorder seat: Startup is $19 a month billed yearly, or $29 monthly, and viewers are free. Notes save to HubSpot records on every plan. The features that overlap Fathom Business are add-ons at $29 a seat billed yearly ($35 monthly) each: Conversation Intelligence adds AI call scoring, scorecards and coaching, and Revenue Intelligence adds forecasting, deal risk alerts and two-way CRM field updates. It costs more than Fathom once you add both, so pick it for the analytics, not the price.

  • 7. Fellow: meetings that end in owned action items

Fellow comes from meeting productivity rather than call recording. Business, which adds HubSpot and Salesforce, is $15 a user a month billed yearly, or $23 monthly. Notes and recaps reach HubSpot three hours after a call; Fellow updates the existing meeting or creates one and associates it with the contact, company or deal, and action items become HubSpot tasks with an owner and due date. Free and Team plans list no CRM integration.

What About Gong, tl;dv and Notion AI Meeting Notes?

Gong is not a cheaper swap; it is the enterprise option. It does not publish prices, and Vendr's purchase data puts the median buyer at $55,359 a year. Fathom offers Gong customers Fathom Business free for the rest of their contract, which says which direction most switching goes. See our Gong alternatives compared by price.

tl;dv lists Pro at €18 a seat a month billed yearly (€29 monthly) and Business at €29 (€39 monthly). Its help center describes HubSpot workflows that log meetings and fill contact, deal and company properties, and says team-wide workflows need Business or above. It does not publish a US dollar price, so get a quote before you compare.

Notion AI Meeting Notes records without a bot and comes with Notion's Business plan ($20 a member a month billed yearly), but it keeps notes in Notion and does not log calls to HubSpot. See our Notion AI pricing breakdown.

What a 5-Rep Team Pays for Each Fathom Alternative

Five reps, every rep's calls syncing to HubSpot, on each tool's cheapest billing option:

Tool and planPer user a month5 reps a year
HubSpot Sales Hub Starter, with Notetaker$7 yearly$420, and it is also your CRM seat
Fireflies Pro$10 yearly$600
Granola Business$14 monthly only$840
Read AI Pro$15 yearly$900
Fellow Business$15 yearly$900
Avoma Startup$19 yearly$1,140
Otter Business$19.99 yearly$1,199
Fathom Business$25 yearly$1,500
Fathom Business, monthly$34$2,040
Avoma Startup plus both add-ons$77 yearly$4,620

Two cases flip the table. A team of three or fewer pays nothing on Fathom's free plan, which no paid tool here can beat. And HubSpot's $7 Starter price buys a CRM seat as well as the Notetaker, so it is only the cheapest option if Starter is the HubSpot edition you would run anyway.

Call notes in HubSpot, account plans in Notion?

NoteLinker shows your Notion account plans, deal notes and meeting databases live on HubSpot contact and deal records. $19 a month for the whole HubSpot account.

Where Call Notes Stop and Account Context Starts

Every tool in this list gets the call onto the HubSpot record. None of them carries the work between calls: the account plan, the stakeholder map, the mutual action plan, the deal notes a founder keeps in Notion. That context stays in Notion, and the rep opening the HubSpot deal never sees it.

  1. 1

Keep account plans and deal notes in a Notion database

Add an Email column to match HubSpot contacts, or a Deal Name column to match deals. Our account plan template is a free starting point.

  2. 2

Install NoteLinker from the HubSpot Marketplace

Connect Notion and pick the databases to show. Setup takes a couple of minutes.

  3. 3

    Open the contact or deal

Matching Notion rows show live on the record, next to the meeting your notetaker logged.

NoteLinker is not a notetaker: it does not record, transcribe or summarize calls, and it does not log activities. It shows Notion database rows on HubSpot contact and deal records (not companies) for $19 a month for the whole account, with no per-user fee. See how the Notion HubSpot integration options compare, account planning software, our comparison of AI notetakers for HubSpot, or pricing.
